Excel introduces Compatibility Versions to mitigate update conflicts. This new system aims to prevent future feature additions and bug fixes from disrupting older spreadsheets, a frequent concern with regularly updated software like Excel. The issue is particularly acute with subscription-based software like Microsoft 365, where monthly updates can unexpectedly alter spreadsheet behavior. Even bug fixes, intended to improve the software, can inadvertently break existing spreadsheets that rely on the fixed bug.

A prime example is a 2025 bug fix addressing a long-standing issue with how Excel handles certain Unicode characters in text functions (FIND, REPLACE, LEN, MID, SEARCH). This fix, while beneficial, could alter spreadsheets using these functions and affected characters.

To address this, Excel's Compatibility Version system introduces a versioning hierarchy. Spreadsheets created before the Unicode bug fix will be Version 1, preserving the original (buggy) behavior. Post-fix spreadsheets will be Version 2, incorporating the fix. Users can manually select a workbook's compatibility version via the "Formulas" tab, "Calculation Options," and "Compatibility Version" menu, though the setting is automatically applied upon spreadsheet creation.

However, this system presents a potential collaboration challenge. A Microsoft 365 user creating a Version 2 spreadsheet might encounter compatibility problems when sharing it with an Office 2024 user. To avoid this, Microsoft 365 users should consider setting the compatibility version to 1 when creating spreadsheets intended for users with older Excel versions.

While prioritizing file compatibility is a positive step, the Compatibility Version system might frustrate Office 2024 users who opted for a one-time purchase to avoid subscriptions, particularly when collaborating with Microsoft 365 subscribers. The rollout is scheduled for mid-to-late 2025 for Microsoft 365 subscribers.
