How to mass delete emails in Outlook
This guide provides several efficient methods to delete multiple emails in Outlook, keeping your inbox organized. We'll cover deleting by date, sender, or specific conditions, focusing on the new Outlook and web app, with tips for the classic desktop version.
Bulk Deleting Emails:
The quickest way to clear a folder is to right-click and select "Empty" or "Delete All." However, for selective deletion:
- Select the folder.
- Click "Select" to enable bulk selection.
- Check the folder name to select all emails.
- Deselect unwanted emails using Ctrl click.
- Press "Delete" or click the trash icon.
Classic Outlook: Use Ctrl A to select all, Ctrl click to deselect, then press "Delete" or Ctrl D. Remember to empty the "Deleted Items" and "Recoverable Items" folders.
Deleting by Sender (Sweep Feature):
The "Sweep" feature (new Outlook/web app) simplifies removing emails from a specific sender:
- Select an email from the sender.
- Click "Sweep" on the "Home" tab.
- Choose an option: delete all, delete all including future emails, keep the latest, or delete older than 10 days.
- Select "Deleted Items" as the destination.
- Click "OK."
Note: Sweep works for most folders, but not "Junk," "Drafts," "Sent Items," or "Deleted Items." Deleting all future emails creates a rule; view, edit, or delete it via "View Rules."
Classic Outlook (Deleting by Sender): Use search filters: In the search box, type from:sender_name
or from:sender@email.com
. Select all and delete.
Deleting by Date:
-
Quick Method (Sorting): Sort by "Received," select a date range (Shift click), and delete.
-
Search Filters: Use
received:start_date…end_date
(e.g.,received:1/1/2025…1/31/2025
). Select all and delete. -
New Outlook/Web App (Bulk Delete by Age): Go to Settings > Accounts > Storage. Choose to delete all or emails older than a specific timeframe.
Conditional Deletion (Rules):
Create rules to automatically delete emails based on criteria (sender, subject keywords, date). This applies to new emails.
Auto-Emptying Deleted Items:
In classic Outlook, use AutoArchive to automatically delete old emails from the "Deleted Items" folder. Configure this in the folder's properties under the "AutoArchive" tab. This also works for the "Junk Email" folder.
